A DJ’s Party Planning Checklist: Decor, Theme Kits & the Details Guests Remember
I’ve spent 10+ years behind the decks as DJ C-Zer with CAL Boys Entertainment, at weddings, quinceañeras, birthdays and backyard parties. I’ve learned that the music and the room work together. Get the space right, and the dance floor fills itself.
Here’s the checklist I give clients.
1. Pick a theme early, then build everything from it
A theme makes every other choice easier: colors, the playlist, photo booth props, even the food. If you’re stuck, start with a ready-made party theme kit. It gets you plates, banners and decor that match, without running to five different stores.
For kids’ parties, characters always win. Browse kids party themes like Bluey, Minecraft and dinosaurs and tell your DJ, so we can match the music.
2. Plan the room around the dance floor
- Put the DJ and dance floor where guests can see them from the tables.
- Keep the food away from the speakers.
- Use backdrops to frame the floor and the photo booth area. A foil backdrop or tablecloth set turns a plain wall into a photo spot.

3. Balloons and banners: go big at the entrance and the head table
A balloon arch at the entrance tells guests the party starts here. Here’s a helpful guide to choosing party balloons and balloon arch kits. Add banners and garlands behind the cake table.
4. Make the photo booth part of the decor
Our photo booth guests have the most fun when the props match the theme. Stock up on photo booth props in your party colors.

5. Lighting changes everything after sunset
Uplighting from the DJ booth does a lot, and glow sticks and LED party lighting for guests keep the energy up late into the night.
6. Life events have their own must-haves
Quinceañeras, graduations, weddings and baby showers each come with traditions. Find decor and favors organized by occasion under life event party supplies, including quinceañera decorations.
7. Timeline: what to book when
- 8–12 weeks out: venue, DJ/MC, photo booth.
- 4–6 weeks out: order the theme kit and decor, and send invitations.
- 1–2 weeks out: give your DJ a must-play and do-not-play list, and confirm the timeline.
- Day of: have someone else handle setup, and enjoy your party.
